Learn how to set up and use the Assets Directory

Important: Assets may have different names (Vehicle, Device, Appliance, Tool, Shoes, Garment) depending on the type of business you choose when creating your account.

The Assets Directory is used for the “Assets” major field of the Assets Form.

The Assets Directory has multiple layers that help drastically reduce the time and effort involved in Order check-in. The Assets Directory is built up with the following levels:

Group > Brand > Model > Modification

For example, choosing the “Smartphones” group will trigger only corresponding elements of the next level (“Brand”). As a result, selecting the “Apple” brand will show related elements on the “Model” level (i.e. only models produced by Apple).

The “Modification” is an optional level that will be useful when the Assets of the same model have got different modifications.

For example, this may apply to smartphones and tablets that may accept SIMs of different form factors or have unequal storage capacity. When it comes to vehicles, there are even more variations to keep up with.

How To Complete The Assets Directory

Navigate to the “Settings > Directories > Assets” page.

Let’s get started with a top level. The elements of the “Group” will be shown in the corresponding field of the Assets Form.

1. Press “+ Group

2. Fill out the title and attach the image if you want.

Use icons to quickly find exactly what you’re looking for, as well as friendly visualization and bulk actions.

3. Choose the locations for this group of elements and save your progress.

For example, when you’re dealing with TV repairs across a single location — then you are going to select a corresponding location. As a result, the “TV” group will be shown only for that location and never appear elsewhere.

Once you’re done, let’s get to the next level. The elements of the “Brand” will be shown in a corresponding field of the Assets Form.

1. Press “+ Brand”.

2. Fill out the title and attach the image if you want.

3. Choose the parent element (a group that this brand should be displayed for).

4. Choose the locations and save your progress.

Note: To use the same brand for multiple groups, make sure to have this brand added to each and every group without exception.

For example, when you have 3 different products by Lenovo (laptops, tablets, and smartphones), you will have to add this brand to all these groups one by one.

The “Models” and “Modifications” levels are to be filled accordingly.

You can create a new element for the Assets Directory directly in the Order dialog window, for example during check-in. Complete a corresponding field with a new title and press “Add”. Therefore, your managers and operators can keep the Assets Directory up-to-date even without user permissions to edit Directories.

How To Edit The Assets Directory

Double-click the element you need for editing, make changes, and press “Save” to save your progress.

Note: When editing the element, the Assets you have in the system will be unchanged.

To remove the element from the Assets Directory, double-click and hit the icon to the right.

Note: When deleting the element, it will be no longer available. At the same time, the Assets you have in the system will be unchanged.

How To Merge The Elements Of The Assets Directory

To get everything in place with the Assets Directory, in line with making migration a bit smoother and simpler (in line with preventing the lion’s share of mistakes over time), you are recommended to merge the similar elements of the Assets Directory.

For example, the “Group” Directory seems to have multiple elements of the same kind (let’s say “Laptops”). But after closer examination you may find out that some of them are actually duplicate items, as a result of missing spaces or typos.

To merge the elements of the Assets Directory, follow these steps:

1. Double-click the element with an incorrect title

2. Fill out the correct title and press “Save”.

3. Hit the “Merge” button in a new pop-up window.

Note: All enclosed elements will be merged as well.

How To Use Bulk Actions In The Assets Directory

Orderry supports bulk actions for the Assets Directory.

  1. Navigate to the “Settings > Directories > Assets” page. Select the elements that need removing.

  2. Hit the remove button to the right and confirm your action.
