How to work with Bookings

Learn how to work in the booking section

In today's business, effective scheduling and customer record keeping are key success factors. To help you with this, Orderry has a simple calendar option that will allow you to easily manage your schedule and plan your employees' working hours based on the duration of the services they perform.

Booking is a necessary tool for companies that provide services by appointment. It allows you to efficiently work with appointments and objectively evaluate the workload of employees and location resources.

To work with the Bookings section, you need to check the appropriate box for employee access in Settings > Employees > Roles.

With the help of bookings, you can:

1. Search for a free contractor at a time convenient for the client.

2. Search for free time with the master needed for the client.

3. Control and distribution of the load on location resources (workplaces).

What is displayed in the Bookings?

Bookings are displayed in the form of a calendar and have intervals in the form of: day with hours, week, or month.

Display modes can be grouped:

By employee - in the calendar mode, the employee's workload schedule will be displayed, as well as their days off, sick days, or vacation.

By resource - this is a unique functionality that allows you to schedule your orders not only by performers, but also by available resources.

On the Bookings page, you can switch between dates by clicking on the calendar or using the arrows in the upper right corner.

Day mode

In this mode, each column represents a separate employee or resource. This allows you to quickly view the occupancy of each employee or resource on a particular day.

Main features:

Vertically arranged timeline, adapts to the 12h/24h format (defined in the company settings).

The schedule shows only those employees who have access to the current location and who have the “Show employee in the list of performers” option activated in the role settings.

If the current day is selected, a red line is displayed to indicate the current time.

Entries are placed in the appropriate time slots, which allows you to quickly navigate the schedule.

Week mode

Weekly mode allows you to view the schedule of one employee or resource for seven days. It is convenient for planning the work of a specialist for a week in advance.

Main features:

Each column represents a separate day of the week (Monday through Sunday).

The week display format takes into account regional settings.

A specific employee or resource is selected through the appropriate filter in the top panel.

Entries are placed according to the time they are scheduled.

Month mode

This mode provides an overview of the scheduled events for the entire month. It is useful for long-term work planning.

Main features:

The schedule of one employee or resource for the whole month is displayed.

All events are displayed as blocks in the corresponding calendar dates.

To view detailed information about a particular entry, you can click on the event to open its card.

The use of color coding for different types of events makes it easy to navigate the monthly schedule.

Switching between modes

Several mechanisms are provided for easy navigation between calendar modes:

Day/Week/Month switching button - allows you to quickly change the viewing mode.

Date navigation - when you click on a date in the top panel, a calendar picker opens to select the desired period.

Switch between days and weeks:

In the Day mode, clicking on the employee/resource header switches the view to the Week mode for that employee or resource.

In Week view, clicking on the day header switches to Day view for the selected date.

Calendar event

Each event in the calendar has the following parameters:

  • Start date and time

  • End date and time

  • Status

  • Title

  • Description

  • Performer

  • Related object

The color of an event corresponds to its status, which helps to visually distinguish between types of booking.

Bookings tile

Clicking on an event opens the bookings tile, which contains: Title, Record status (you can quickly change the status in this window), Client information (additional information is displayed when you hover), Record start date and time, Record end date and time, Responsible employee, Comment to the record, Payment amount.

Create a new bookings

In the Day and Week modes, when you hover over a free time in the calendar, a tooltip appears that allows you to create a new entry.

1. To create an entry, click on the desired cell in the calendar.

2. When creating an entry, you need to specify the client, add the service(s), select the date and time.

3. Determine the duration of the recording if the selected services do not have a duration.

4. Click the Create button. After saving, the appointment appears in the calendar.

Create a new order from a booking

To create a work order from a record, follow these steps:

1. Open the record and in the upper right corner, click the Actions button and select Create work order.

2. After that, the work order creation window appears, where you need to fill in the remaining data.

The client and service data from the booking will be automatically transferred to the work order.

After filling in the information, make sure that everything is correct and click Create.

After saving, the work order will be displayed in the work order table.

Creating a sale from a booking

To create a sale from a booking, do the following:

1. Open the record and in the upper right corner, click on the Actions button and select Create sale.

2. After that, the window for creating a sale will appear, fill in the following fields.

The client data and services from the record will be automatically transferred to the sale.

After filling in the information, make sure that everything is correct and click Sell.

After saving, the sale will be displayed in the sale table.

Deleting a booking

To delete an entry from the calendar:

1. Open the entry you want to delete.

2. Press the delete button and confirm the action.
