How to create the Lead Status?

Learn how to add new statuses for Leads and configure them to your needs

The Lead statuses can help you streamline workflow in the Orderry system. You can find out more about Leads and their statuses here.

There are 7 basic statuses available for Leads by default: “New lead”, “In work”, “Successful order”, “Successful sale”, “Expensive”, “Canceled”, and “Mishandling”.

The Lead statuses can be created from scratch, quickly edited or removed from the system. You just need the right set of user permissions to access the “Settings > Statuses” page in Orderry.

Work on your Lead statuses to build up a well-thought workflow for every employee, driving the business efficiency of your company to a significantly higher degree. Use the initial status to pre-qualify different types of Leads by purchase funnel and drive potential human error to the minimum. Use the status time limit to make sure your Leads are handled at an optimal rate through every stage of the working cycle.

Creating New Status

Step One: Go to the “Settings > Statuses > Leads” page, then press the “+ Status” button.

Step Two: Provide a title for your new Lead status — make it short and concise to be easily understood and properly displayed in the Lead Table. Next, proceed with setup.

Hint: You can also add emojis to your newly created Lead status using the “Win + .” shortcut key combination (for Windows). Using Mozilla Firefox / Edge, or simply can’t find exactly what you need? Please visit emojipedia. Over there, you can simply copy + paste the one you like best.

Select a group for your new Lead status. There are 5 basic groups of statuses to choose from: “New”, “In progress”, “Pending”, “Closed”.

Note: A group you’re going to choose for your new Lead status will determine its color, along with some other features.

Example: Leads can be transferred to the “Won” status group only after creating a successful Order or Sale. Leads transferred to the “New” and “Pending” status group will be automatically assigned to a corresponding badge.

You can create new items, modify and remove the existing Lead statuses from these groups, except for the “Won” group which can be only configured by the status time limit and a set of permissions.

Check the “Time limits” checkbox to set the upper time limit allowed for Leads with this status.

Note: The status time limit for Leads does not correlate with the work hours of locations.

Once the allowed duration comes to an end, the “Status deadline” column in the Lead Table will show the current delay period, accompanied by a colored thunderbolt icon. Learn more about the “Status time limits” feature in this guide.

Check the “When transferring to this status, require Create order” checkbox to allow transferring Leads to this status only when the new Order is created.

When you create a new Order coming from the corresponding Lead, the Orderry system will make both items interconnected — for you to quickly swap between them if necessary.

Check the “When transferring to this status, require Create sale” checkbox to allow transfer to this status only when the new Sale is created.

When you create a new Sale coming from the corresponding Lead, the Orderry system will make both items interconnected — for you to quickly swap between them if necessary.

Check the “When transferring to this status, require Comment” to force employees to leave a comment before they can transition Leads to this status.

Status available — use checkboxes to mark a set of permissions for employees (roles). Doing so, you will let them see the Leads with this status, in line with giving them the ability to use this status.

Statuses you can transfer to this status — check the statuses to allow Lead transfer to the status you create.

Example: Leads from the “New lead” status can be only transferred to the “In work” status.

Example: Leads from the “In work” status can be only transferred to the “Successful order”, “Successful sale”, “Expensive”, or “Cancelled” status.

Step Three: Press the “Save” button to make your new Lead status created and displayed in the list as shown below.

Deleting and Editing Statuses

To edit the existing Lead status, please go to the “Settings > Statuses > Leads” page. Double click the Lead status you need and complete editing in the dialog window. That’s it.

Note: Doing best to prevent human mistakes and keep your database safe, Orderry leaves no way to choose the Lead status directly in the corresponding dialog window.

Example: When you need to allow the existing “A” status to be set from the other “B” status, only the latter “B” status should be edited.

To delete the existing Lead status, please go to the “Settings > Statuses > Leads” page and press the “Delete” button.

Note: You can delete only blank status (there are no Leads that belong to this status, and no Lead types involve this status as the initial Lead status).
