Converting Assets to Products and Vice Versa

The key difference between products and assets (e.g., vehicles, devices) lies in their use:

  • Assets cannot be sold but can be serviced.

  • Products cannot be serviced but can be sold.

Previously, we introduced product-to-asset conversion for tasks like maintaining sold products or renting products instead of selling them. Now, we’re excited to announce the reverse process: asset-to-product conversion!

This feature is useful when:

  • You buy a client’s asset, perform maintenance, and then sell it.

  • You sell assets originally meant for rentals.

How Does Asset-to-Product Conversion Work?

In the asset profile, select Convert to Product from the Actions menu.

A window similar to Product Posting will appear, where you can specify:

  • Supplier

  • Warehouse

  • Serialized product details (pre-filled with the asset’s serial number but editable): purchase price, taxes, supplier warranty, bin location, and prices.

Things to Keep in Mind:

  • You can only convert assets into serialized products to retain full item history.

  • One asset = one product. If the product doesn’t exist in your inventory, you can create a new one.

  • During conversion, you can immediately create an expense from the cashbox or record the operation to the supplier’s balance.

Once completed, the conversion will be documented in both the asset and product profiles. You can still locate the converted asset by its serial number.

Quick Tips for Creating New Products and Managing Suppliers

You can create a new product in two ways:

  • From the empty table: The product name will auto-fill with the asset’s group, brand, model, and modification.

  • From the search field: The product name will match your search query.

Also, managing the supplier details differs depending on the asset’s owner:

  • If the asset belongs to a client: Field is required and the client will be the default supplier (you can edit this).

  • If the asset belongs to your company: The supplier field will remain empty and is optional to fill.

Permissions for Asset-to-Product Conversion

A new permission, "Can convert assets to products", controls access to this feature. By default, it’s enabled for employees who can create product postings. Adjust permissions in Settings > Employees > Roles.

Can I Convert Product Back to Asset?

Yes! After an asset was converted to a product, you can do the reverse process. So let’s recall what we have with product-to-asset conversion.

Converting Products to Assets

In the product profile, click the serial number, go to Actions, and select Convert to Asset.

A window will appear to fill out the asset details:

  • The product serial number will auto-fill into the Serial Number / IMEI / VIN field.

  • Images and identical fields (e.g., brand, model) will transfer automatically.

Asset Ownership Rules

  • The Owner is Your Company: Conversion initiated from inventory, write-off, transfer, or stock take defaults ownership to your company.

  • The Owner is the Client: Conversion initiated from orders, sales, or returns defaults ownership to the client.

Products currently in open orders, tickets, or jobs cannot be converted into assets.

Once the conversion is complete, a record will be added to the history of both the product and the asset, documenting the process.

Permissions for Product-to-Asset Conversion

This feature is controlled by the "Can convert products to assets" permission in Warehouses. By default, it’s enabled for users with the "Can create assets" permission. Adjust permissions in Settings > Employees > Roles.
