Invoices: Variables for Print Documents, Customizing Statuses, and More

We continue to enhance invoices in Orderry, and here are the latest updates we’re excited to share with you:

  • New variables for the payer, invoice manager, and due date in print documents.

  • Updates to the Public API for working with invoices.

  • Customizing invoice statuses.

  • Event feed in invoices.

New Variables for Invoice Print Documents

Since you can now specify the payer and client separately in invoices, as well as the invoice manager and due date, we’ve introduced the ability to display these details in print documents. On the Settings > Document Templates page, you’ll find new variables:

  • A full group of variables for the Payer (a similar group will soon be added for orders, tickets, and jobs).

  • {Invoice Manager Name} to automatically display the invoice manager in documents.

  • {Invoice Due Date} and {Invoice Due Date 2} to show the invoice's due date on print documents.

If you need additional variables for print documents, please let us know.

Updated Public API Method for Invoices

With the latest changes to invoices, the response to the request at https://api.orderry.com/invoice/ now includes details about the due date, issue date, manager, and payer specified in the invoice. Additionally, you can filter invoices by these fields by specifying the necessary parameters in your request.

Customizing Invoice Statuses

Exciting news—you can now create a custom status funnel for invoices, just like you already do for orders, estimates, and leads!

Invoice statuses are organized into four groups:

  • New: Default status is Draft.

  • In Progress: Default status is Issued.

  • Paid: Default status is Paid.

  • Canceled: Default status is Canceled.

You’re free to stick with these defaults, rename them, tweak their settings, or build entirely new custom statuses. Keep in mind that any status under the Paid group will automatically require payment creation.

What Can You Do With Invoice Statuses?

  • Set Time Limits: Define how long an invoice can stay in a specific status.

  • Require Comments: Ensure comments are added when moving an invoice to certain statuses.

  • Control Access: Decide who can view or assign specific statuses.

  • Customize Status Flows: Specify which statuses can lead to or follow another.

By default, invoices start with the Draft status. Now, you can give it a name that fits your workflow and decide how it flows through your custom status funnel.

Event Feed in Invoices

Invoices now come with their own event feed, making it easier than ever to stay on top of changes, share files or photos, create tasks, and leave comments—all in one place.

Here’s what you can track:

  • Status changes

  • Updates to client, payer, or manager

  • Changes to issue or due dates

  • Added comments or attachments

  • Tasks created

  • Payments received

Need to add something? Click the “+” button to create a task, upload a file, or attach a photo.

Just like in orders, leads, and tasks, you can leave public or private comments. And if you prefer, you can switch the feed to Comments only, turning it into a chat-like space for seamless communication.

Upcoming Invoice Updates

We are already working on the next improvements for the Invoices section, including:

  • Linking payments to related orders and vice versa.

  • More filters for the invoices table.

  • Recording of invoice creation in event feed of orders, tickets, and jobs.

  • List of all client’s invoices in their profile.
