We’re excited to introduce the new QuickBooks integration in Orderry — now two-way, easier to connect, and fully transparent in how your invoices sync.
Why We Built a New Integration
Our previous QuickBooks integration worked only one way — sending data from Orderry to QuickBooks. While it did the job, it required a complex setup and didn’t always make it clear what was synced.
So instead of patching the old one, we built a completely new integration from scratch — one that’s faster, simpler, and gives you full control over your data.
Note: To avoid any inconvenience or potential data loss, the old QuickBooks integration will remain active for now but will be deprecated soon. We recommend switching to the new integration as soon as possible.
What’s New
Two-way synchronization — invoices now stay up to date in both Orderry and QuickBooks. Any changes you make in one system automatically appear in the other.
Simplified connection process — all integration settings are now in one place, so you can connect your QuickBooks account in just a few clicks.
Transparent sync status — instantly see which invoices are synced directly in Orderry.
Support for invoice payments — payments recorded in QuickBooks and Orderry are automatically synced.
Note: The new integration currently supports invoices only (not orders or other document types).
How It Works
Just like with the previous integration, you can define which invoice statuses should trigger automatic sending from Orderry to QuickBooks. If you also map invoice statuses between Orderry and QuickBooks, they’ll stay in sync automatically — no manual actions required.
The following changes are synced automatically:
Client or payer changes — if you change the client or payer in Orderry, it will update in QuickBooks and vice versa. (However, updates to individual client fields like phone number or address are not synced.)
Service and product data — quantities, prices, and discounts are synced (but specific product fields like descriptions are not).
Invoice issued and due dates — if you change a date in one system, it will be update in the other too.
Invoice payments — payments created in Orderry are automatically recorded in QuickBooks, and payments created in QuickBooks are automatically recorded in Orderry, under the payment account selected in the integration settings.
You can also sync invoices manually at any time by opening the invoice and selecting Sync invoice from the Actions menu.
If an invoice is successfully synced with QuickBooks, you’ll see it in the invoice dialog with the date of last update. If synchronization fails, an error message will appear immediately.
To ensure successful invoice synchronization, please note:
Service and product names must not contain “/” or “:” symbols.
Service and product names must be no longer than 100 characters.
Setting Up the New QuickBooks Integration
To set up the integration, follow these steps:
Go to Settings > Integrations, find the two-way QuickBooks integration, and click Configure.
Connect your QuickBooks account.
Set up automatic invoice sending to QuickBooks.
Map taxes if needed.
Map specific QuickBooks events to Orderry invoice statuses for automatic updates.
Enable the integration and save your settings.
