How to Edit a Checklist
If the process has changed — for example, a new verification step has been added, you need to clarify the wording of a step, or add a required photo—you don’t have to create a new checklist template from scratch. You can edit it: change the name, the order of steps, sections, and items, or temporarily deactivate it until the structure is ready.
Note: To edit checklist templates, an employee must have the “Checklists” access right enabled in the access settings.
There are two ways to edit a created template:
Method 1. Manually editing a checklist template
1. Go to Settings > Checklists, find the desired template in the list, and open it.
2. Change the template’s basic settings.
In the template card, you can adjust:
Title — refine the wording as needed, for example, “Repair Quality Control” → “Equipment Repair Quality Control.” As before, the name must remain unique among all templates.
Work Orders Types — add or remove the work orders to which the checklist applies. For example, if the “Construction Work Inspection” checklist is now also needed for “Finishing Work” work orders, add this type to the list.
Active—turn off the toggle if you need to temporarily stop using the template for new work orders without deleting the structure itself. This is useful when you’re making significant changes and don’t want employees to see an incomplete checklist during that time.
3. Editing checklist steps.
To change the step title or description, double-click on it, make the necessary changes, and save them.
To change the order of steps, hover over the drag-and-drop icon next to the step’s name and move it to the desired position.
To delete a step, click the delete button and confirm the action.
After making all changes, click “Save” to apply them to the checklist.
4. Editing sections within a step.
To edit sections within a step, double-click the desired step.
To change a section’s name, hover over it and make the necessary changes. Section names cannot be duplicated within a single template.
To change the order of sections, hover over the desired section and click the button with the down arrow. The section will move one position down.
To delete a section, hover over it, click the delete button, and confirm the action.
5. Editing fields within a section.
Within a section, you can:
change the name and description of a field; Field names, as before, cannot be duplicated within a single section.
change the response type. For example, replace “Yes / No” with “Passed / Caution / Failed” if a simple checkbox is not sufficient;
add a new item or delete an existing one.
Method 2. Editing in JSON Format
If you need to quickly change the structure or content of a checklist, you can edit it directly in JSON format.
1. Open the desired checklist template and switch to JSON mode.
2. Make the necessary changes to the checklist structure: add, delete, or edit individual items and their settings.
3. Verify that everything is correct. Save your changes.
Important to Remember
Changes to the template apply only to new checklists that will be added to work orders after the changes are saved. Editing the template does not affect checklists already attached to existing work orders—they retain the structure that was current at the time of creation.
Deactivating a template does not delete it or affect existing checklists—it simply stops the template from being applied to new work orders.
Each template must contain at least one section, and each section must contain at least one item. Therefore, the last section or item can only be deleted after a new one has been added.
If you need to make significant changes to a template, it’s best to deactivate the old one and create a new one. This will preserve the history of checklists that were completed using the old structure.
How to Delete a Checklist
If you need to delete a checklist, go to Settings > Checklists and click the “Delete” button, then confirm the action.
