Learn how to set up automated notifications or send them manually

Orderry enables you to set up automated or manual employee and client notifications. You need to integrate one of the SMS gateways from the Integrations page to send SMS notifications.

To send messages via WhatsApp or Viber, you must also have the corresponding messengers connected on the Settings > Integrations page.

Automated notifications

The notification system allows you to automate SMS and Email notifications. This way, you instantly update your clients and employees on the specific Work Order/Lead events or notify employees about active task changes.

Customizing integrations in our system, currently does not support bulk messaging.

Automated Notifications for Work Orders

Navigate to the Settings > Notifications > Work Orders page. Here, you can configure automated message sending for clients and employees (separately for specialists and managers). Each group has custom events and action triggers.

You and your employees can receive event notifications from Orderry via email and SMS at the same time. Configure your notifications with different notification templates for each messaging channel.

For instance, configure the client notifications for the Work Order status change to “Done” with all needed information about the Work Order and price. At the same time, set up the specialist assignment notifications and send a message to the target employee with the Work Order number and other relevant data automatically.

Automated Notifications for Leads

Navigate to the Settings > Notifications > Leads page. Here, you can configure automated notifications for Leads. You can send notifications to clients and employees, each group has custom events and action triggers.

You and your employees can receive event notifications from Orderry via email and SMS at the same time. Configure your notifications with different notification templates for each messaging channel.

For example, configure automated notifications to send polite reminders to your clients asking for a callback when the Lead status updates to “No response”. If the Lead has an assigned manager, you can make a responsible employee receive a notification to callback the client with all related details.

Automated Notifications for Tasks

The system sends task notifications to the employees associated with a task (task creator employees and assignee employees). Configure automated task notifications for employees on the Settings > Notifications > Tasks page.

For instance, notify your assignees upon the task creation, and keep task creator employees updated when their task is completed.

Sending manual WhatsApp, Viber, SMS, and Email notifications

Send your messages to clients and employees manually, if you prefer to control the client and employee communication by yourself.

Sending SMS / WhatsApp / Viber notifications from Work Orders

Note: A corresponding button (SMS / Open chat) appears in Work Order profiles only when there is a phone number in the client profile and the checkboxes WhatsApp / Viber / SMS are checked.

1. Go to the Work Order profile, and press the Notification button in the upper right corner. Then choose the sending method: WhatsApp, Viber or SMS.

2. Enter another number into the Phone number field (if you don't want to use current contact details).

3. Select the notification template from the Template field.

Note: Due to technical limitations, Viber does not have the ability to choose a message template.

4. Edit the message text if you need to add extra information, then press Send.

Sending Emails from Work Orders

Note: A corresponding button (Email) appears in Work Order profiles only when there is an email address in the client profile and the checkbox Agrees to receive Email is checked.

1. Go to the Work Order profile and press the Notification button in the upper right corner. Then choose the sending method: Email.

2. Enter the email address (if you want to use something other than current contact details).

3. Select the notification template from the Template field.

4. Edit the message subject (if the automatically generated one is not suitable) and modify the email text to add extra information.

5. Attach documents from the Attach document field if needed, then press Send.

Sending Notifications with one click

Note: A corresponding button (SMS / Open chat / Email) appears only when there is a Phone number in the client profile and the checkboxes WhatsApp / Viber / SMS are checked.

1. Navigate to one of the following pages: Leads, Work Orders, Invoices, Clients, or Calls.

2. Hover over the client's phone number and select the needed option: WhatsApp, Viber, or SMS.

3. Enter another number into the Phone number field (if you don't want to use current contact details).

4. Select the notification template from the Template field.

5. Edit the message text if you need to add extra information, then press Send.

Sent SMS can be reviewed in the Sent SMS Report.
