Use estimate statuses to build a workflow for processing estimates.

Rules for changing statuses

By setting up rules for transferring statuses, you can define a specific business process for estimates. Status transfer rules are configured in the status editing window on the Settings > Statuses > Estimates page in the "Statuses you can transfer this status to" block.

By default, all statuses except those from the Closed group can go to all statuses.

Sometimes employees can accidentally transfer an estimate to the wrong status. As a result, the entire workflow is disrupted. You can set up rules for switching between statuses to avoid such mistakes.

For instance, from the "Draft" status, an employee can transfer only to the "In progress," "Pending," or unsuccessful statuses, and from the "Accepted" status to the "Order created" status.

In this way, you will get a cross-sequence of statuses. There will be restrictions when transferring statuses, but in some cases, you can choose what status to update to.

To fully eliminate the human error risk, you can set up transfer rules to get a status sequence that is separate from others. To do this, create new statuses in each group and set the rules for transferring from one status to another.

For instance, "Draft 1 > In progress 1 > Control 1 > Accepted 1 > Sent 1 > Order created 1".

To set up such a sequence, you switch to the "Draft 1" status and specify that it can only go to "In Progress 1".

Then, in the status "In progress 1", you specify that it can only go to "Control 1", and so on.

The ability to set different initial statuses for estimates will help you build different processes for each estimate /work order type. Thus, you will establish a certain path for estimates and be sure that your employees will not accidentally transfer the estimate to the wrong status.

Automatic creation of work orders from estimates

If you change the status of the estimate to "Order created," Orderry will automatically create a work order based on this estimate. All information about the customer, asset, services, and products will be automatically transferred to this work order.
