How To Configure The Asset Form?

Learn how to create your own form for Asset Profile

Important: Assets may have different names (Vehicle, Device, Appliance, Tool, Shoes, Garment) depending on the type of business you choose when creating your account.

The Asset Form is a set of custom fields for you to complete when adding new Assets in the Order Profile or on the Inventory > Assets page.

Go to the Settings > Forms Editor > Assets page to get started with setup.

How To Manage Fields

Fields are boxes found in the Asset Form to input text or numerical data.

Adding New Fields

Step One: Press “Add field”.

Orderry has 3 basic field categories: System fields, Custom fields, and New fields.

System fields are the “Asset”, “Color”, “Cost”, “Serial number / IMEI”, “State”, and “Year” fields. These fields do not support editing, but can be still removed if necessary (except for these two: “Serial number / IMEI”, “Asset”).

Note: The “Asset” system field is a master field, it can not be arranged or divided into further sections.

The “Asset” master field can be configured using the Assets Directory on the Settings > Directories > Assets page.

Custom fields are the newly-created fields you’ve been adding over time.

Variable values for custom fields in the Asset Form can be found on the Settings > Print templates > Assets page. Their title includes a numerical code.

New fields are the fields you’re going to create. Newly created fields will be moved to the “Custom” section.

There are 7 different types of fields, based on the format and amount of data available for editing:

  • Text field allow alphabetic characters with a 256-character limit including spaces and can be tied to Custom Directories;

  • Text area allow alphabetic characters with a 16384-character limit including spaces and can be tied to Custom Directories;

  • Value list contains a list of values for a dropdown list, names separated by commas (255-character limit, including spaces) and can be tied to Directories;

  • Checkboxes are specific fields to select one of these: “Yes” and “No”;

  • Date is to be filled with the date using a DD.MM.YYYY format (use this field to set the default values, which will be added to the current date);

  • Date + Time is to be filled with the date and time using a DD.MM.YYYY HH:MM format (use this field to set the default values, which will be added to the current date and time);

  • Number can be only filled with a numerical value (32-character limit, including dots and commas for decimal numbers).

Step Two: Draw a field title, select a Directory to connect (optionally), and press “Save”.

How To Customize Fields, Use Cases

To edit a field, hit the pencil icon to the right of its title. Only the title and type of the field can be edited. A variable value of the field will be generated automatically, it can not be edited.

Note: System fields do not allow changing the type of the field. The following types of fields can be tied to Directory: “Text field”, “Text area”, and “Value list”. By doing so, you can fill the Asset Forms quicker and eliminate human error.

Use the “Show in Order form” checkbox for different fields in the Asset form to make them shown / hidden in the Order form.

Note: Those fields you select not to be shown in the Order form will be still visible in the Asset profiles.

You may select only basic fields from the Asset form to be shown in the Order form, for example, to check-in faster. That way, you can always go back to the Asset profile and complete the missing fields.

Check the “Forbidden edit after creation” checkbox to prevent your employees from making changes in the existing Asset profiles.

Doing so, you can leave no room for potential fraud or any other unauthorized action with Assets.

Fields can be changed to mandatory by enabling the “Required” checkbox. Doing so, the Assets can be added / modified only after filling out a mandatory field.

Note: Given that the “Required” checkbox is enabled but the “Show in Order form” is not, the employee still can create a new Order even without necessarily filling out this field. At the same time, however, that field should be eventually filled out to apply changes in a corresponding Asset profile.

To move the field, press the icon (three vertical dots) to the left and complete your move.

The following fields: “Text field”, “Text area”, “Value list”, and “Number” allow choosing default values for the fields to be displayed in the Asset profiles. All you need is to complete the ones you want to display by default.

To remove the field, press the delete icon from the right side of its title. Keep in mind that the following two fields can not be removed: “Serial number/IMEI/VIN”, “Asset”.

Note: Once the field is removed on the Settings > Forms editor > Assets page, it will be also removed from all related Assets and Orders. To restore the field deleted by mistake, please contact Orderry support.

How To Deal With Headers

Unlike the fields in the Asset forms, the headers over there are of the same type and do not create variables. Use them to make the information on Assets displayed in the Order form look visually arranged and more user-friendly.

Press “Add header” to create a new header, then select a title and press “Create”.

To edit or remove headers, press a corresponding button to the right (a “pencil” or “delete” icon).

To rearrange, click the icon from the left side of the header (three vertical dots) and drag them to a new location.
