Expiration Tracking for Existing Products

Discover how to enable expiration period tracking for products already in your inventory to prevent selling expired items

In June, Orderry added the ability to enable expiration tracking when creating or importing new products. Now, we’ve expanded this functionality so you can turn on expiration period tracking for products that are already in your assortment.

What You Can Do After Enabling Expiration Period Tracking

Just a quick reminder of what you can do once you’ve enabled expiration period tracking:

  • Specify an expiration date for each batch when you receive products into stock

  • View the expiration period in the Stock Balances and other tables

  • Sort serial numbers by expiration date when adding items to orders, sales, or write-offs

  • Deduct non-serialized products from stock by FEFO (first expire, first out)

  • Include the expiration period on printed documents

Enabling Expiration Tracking for Existing Products

Open the product profile and check Enable expiration tracking.

If you have zero stock for this product then the process is identical to setting up a new product—just check the box and save. If you have at least one unit in stock, you must enter an expiration date. Depending on whether the product is non-serialized or serialized, you’ll see different options.

Non-Serialized Products

  • Only one unit in stock
    Simply enter the expiration date and save.

  • More than one unit in stock
    You can either apply one expiration date to all units, or specify different expiration dates for each warehouse where the product is stored.

For each warehouse, Orderry shows the postings numbers automatically—so if your units arrived in separate batches with different expiration dates, enter the correct date for each batch.

Important: When you activate expiration period tracking, Orderry will automatically write off and post again your existing stock. Because we don’t track supplier information for individual units of non-serialized products, supplier details for these items will no longer be available after activation.

Serialized Products

  • Only one unit in stock
    Enter the expiration date and save.

  • More than one unit in stock
    You can either assign one expiration date to all serial numbers, or specify a separate expiration date for each serial number.

Note: If you sold a product and then enabled the expiration tracking, the return option for that item will not be available.
