How to use a public page for Bookings?

Learn how the public page for online bookings works, allowing customers to choose their own technician and services

The public page of booking is a convenient online service with a step-by-step process that allows customers to easily select and book the service they need.

This page is your tool for quick and convenient bookings of services. The entire process is broken down into six simple steps that will help clients select everything they need and confirm their booking.

Locations, employees, and services are displayed exactly as you have named them, while system prompts and interface elements are displayed in the document language set in the system. You can also enable a language switcher, which will allow the user to translate these prompts and interface elements into a language of their choice.

Step-by-step registration for the service

Step 1. Select an address.

Online registration begins with selecting a location. The page displays a list of available locations. Each location contains:

  • Name and full address

  • Current status: “Open” or “Closed”

The opening hours of the locations displayed here can be set on the Settings > Locations page.

To select a location, click on the desired address — the system will then take you to the next step. If only one location is available, the transition will occur automatically.

Step 2. Select an employee.

After selecting an address, a list of technicians and specialists available for appointment will be displayed. The following information is displayed for each employee on the list:

  • Employee name and position

The display name of an employee (manager, technician, etc.) can be configured in their profile. You can use the standard first and last name specified in the corresponding fields, or set a separate name for all public documents — for example, a full name or a shortened version.

Select the specialist you wish to make an appointment with and proceed to the next step.

⚠️ Important: You can disable this step for the clients. In that case, the system will display available slots based solely on the location's operating hours.

Step 3. Selecting services.

Now that you have chosen a technician, it's time to select services. The avatar of your chosen employee will appear at the top of the page.

The list of services is also displayed as tiles in alphabetical order. Each tile contains:

  • Name

  • Short description (can be expanded)

  • Duration and price

If a service does not have a specified duration but is enabled to appear on the online booking page, it will still be available for booking. In this case, the slot duration is determined automatically based on the time interval configured on the online booking page.

For such services, only the price is displayed—without the duration.

You can select several services at once. As soon as you add at least one service to your cart, a button will appear at the bottom of the page to proceed to the next step.

Step 4. Selecting the date and time.

At this stage, the previously selected services and a calendar for selecting an available appointment slot are displayed. If the option to include work orders when calculating available time is enabled in the online booking settings, time slots that are already occupied by work orders will be unavailable for booking.

  • Calendar: Available days are displayed horizontally. Unavailable days are marked as inactive.

  • Time: Available time slots are grouped by time of day:

- Morning: from 00:00 to 13:00

- Day: from 13:00 to 19:00

- Evening: from 19:00 to 00:00

You need to select a convenient date and time for the appointment to proceed.

Please note: Bookings in any status, other than сloosed ones, block that time slot in the online booking calendar. As soon as a booking changes to “Completed,” “Canceled,” or “No-show,” it is considered closed, and that time slot becomes available for booking again.

Step 5. Your contact details.

This is the last step before confirmation. Below the list of selected services, dates, and times, you will find a form that you need to fill out:

  • Name (required)

  • Phone number (required)

  • Email

  • Comments (if necessary)

The client data collection form on the online booking page cannot be changed—it contains only standard, fixed fields.

Please note: to confirm your booking, you must tick the box next to “I consent to the collection and processing of my personal data.”

Step 6. Confirm your appointment.

After filling out the form and clicking “Confirm,” the system will create your appointment. You will see a confirmation page with a green check mark, which means it was successful.

The screen will display all the details of your appointment:

  • Address

  • Date and time (start and end)

  • Employee name

  • List of services

You can also add the appointment to your calendar by clicking the “Add to calendar” button. This will download an .ics file, which will automatically save the appointment information to your electronic calendar.ʼʼ

If the duration is not specified for booked services, only the start time is displayed, and such an event cannot be added to the calendar. The duration of these services is still calculated for display in the system, but it is derived from the time interval configured for the booking page.

However, if the duration is specified for at least some of the services, the start and end times are calculated based solely on those services—and it is with these times that the event can be added to the calendar. The total duration displayed in the system includes the duration of each service: if it is specified, that value is used; if not, the time interval value is used.

If a booking lasts more than 24 hours and begins and ends on different calendar days, the public page displays the full range of dates and the start and end times, followed by the total duration of the booking.

After the client has filled out the public page to make an appointment, this appointment will be displayed at the specified time on the selected employee's page Bookings.
