How to manage a created invoice in the mobile app?
Once an invoice has been created, you can view and edit it. To edit the document, you need to enable the “Can edit invoices” permission on the Settings > Employees > Roles page.
After opening the created invoice, you can change the following:
- Change the customer and payer;
- Select a different payment method;
- The invoice date and due date;
- Select a different work order number;
- Change the list of services;
- Change the price and quantity of the product in the document by tapping on the line item.
To change the client or payer, swipe left on it and tap the delete icon to remove it. After that, you will be able to add a new customer or payer.
To print documents for an invoice in the mobile app, open the desired invoice, tap More actions in the top-right corner, and select “Print documents”.
Select the desired documents from the list and tap Print. In the new print window, you can tap the Send icon to send the document in PDF format via email or messenger.
Invoice event feed in the mobile app
In an open invoice, you can go to the activity feed. To do this, tap the corresponding tab below the invoice number.
Events cannot be deleted from the feed, so you can see everything that has happened with the invoice.
The following events are recorded here:
Change in invoice status;
Changes to the following data: client, payer, payment method, setup or due date, and manager;
Creation of a task from the invoice;
Additional actions: adding a comment, photo, or document to the invoice.
When you click on an event, you can see the date, time, and name of the employee who performed the action.
In the invoice event feed, you can perform the following actions:
1. Create a task, add a photo or file. To do this, click the “+” icon at the bottom and select the desired action:
Create a task — the ability to create a task linked to this invoice
Attach a photo — the ability to add an image from your phone
Take a photo — the ability to take and add a photo using the camera
Attach file — allows you to add a document from your phone
2. Add a public or private comment. To do this, simply start typing text at the bottom of the timeline. By default, comments are public, but if needed, you can click the eye icon to make the comment private.
Public comments are visible to all employees who have access to the invoice.
A private comment can only be seen by the employee who wrote it, regardless of access rights. For convenience, private comments are highlighted in yellow.
Paying an Invoice in the Mobile App
1. When you change the invoice status to “Paid”, the payment dialog opens.
2. Select the financial account to which the invoice payment will be credited. The list displays only those financial accounts whose type matches the value in the “Payment Method” field on the invoice.
For example, if the payment method “Cash” was selected when creating the invoice, only financial invoices with the corresponding payment method will be available in the list.
Please note: It is not possible to pay an invoice using the client’s balance.
3. If necessary, add a payment comment. You can also change the date and description of the payment.
4. Tap “Create Payment”.
How to delete an invoice in the mobile app?
To delete an invoice in the mobile app, open the invoice, tap More Actions in the top-right corner, and select “Delete”.
Deleted invoices can be restored in the “Event Log” report in the web version of Orderry.
To do this, generate a report for the event “Invoice deleted”. Find the deleted invoice and click the “Restore” button.
