Statuses are used to set up a workflow for transfers.
By default, the following statuses are already created in the system: Draft, Ready to transfer, Received, In Transit, Completed, and Cancelled.
☝️You can create, edit, and delete statuses. To do this, you need the appropriate access rights to the Settings > Statuses section in the Orderry system.
Using shipment statuses, you can create a step-by-step workflow for employees. The status time limit allows you to control the deadlines for each stage of the shipment and employee actions.
How to create a new transfer status?
Step 1. On the Settings > Statuses > Transfers page, click the “+ Status” button.
Step 2. Enter the name of the status (we recommend using concise names for better visual representation in the Transfer table) and configure it.
You can use emojis in the status name. For Windows users, press the “Win + . (period)” keys and select an emoji. If you can’t find the right emoji or are using Mozilla Firefox/Edge, you can visit the emojipedia website. Simply copy and paste the emoji you need.
Note that changing status colors is not currently supported.
Group — specify the group to which the status will belong. There are 6 independent status groups: New, In Progress, Completed, Delivery, Closed, Canceled.
Set time limit — check this box to set the maximum time a transfer can remain in this status.
When the status period expires, the lightning bolt icon in the “Status Duration” column of the Transfer table will turn colored and display the number of days overdue. Learn more about status time limits.
Require a comment when changing to this status — check this box to prevent employees from changing the transfers to this status without a comment.
The comment will appear in the transfer's event log.
Status Available — Use the checkboxes to select the employee roles that can view transfers with this status and set this status for transfers.
Previous statuses (that can be changed to this one) — check the boxes next to the statuses from which transfers can be changed to the status you are creating.
For example, a transfer can only be changed to the “Canceled” status from the “In Transit” and “Draft” statuses.
Please note that you can only configure the previous statuses from which transitions to the status you are creating are allowed while you are creating it.
Subsequent statuses (this status can be changed to) — check the boxes next to the statuses to which transfers can be made from the status you are creating.
For example, a transfer from the “In Progress” status can only be made to the “Completed” or “Canceled” statuses.
Step 3. Click the “Create” button. Done—the new status has been added and appears in the list.
How do I edit or delete a transfer status?
To edit a status, go to the Settings > Statuses > Transfers page. Double-click the desired status, make your changes, and save them.
Important: When editing a status, the dropdown menu for selecting the statuses that can transition into it is not available. This is done to prevent errors, as incorrectly changing this parameter can “break” the previously configured status sequence.
For example, if you want an existing status (A) to be set from another status (B), you need to edit the latter (B) of the two mentioned.
To delete a status, double-click the desired status on the Settings > Statuses > Transfers page and click the delete button.
Please note that to delete a status, there must be no transfers in that status, and the group must have at least one other status remaining.
