How do I add a task status?
Statuses are used to build a workflow with tasks.
You can create, edit, and delete statuses. To do this, you need the appropriate access rights to the “Settings > Statuses” section in the Orderry system.
Using task statuses, you can create a step-by-step workflow for employees: from assigning a task to reviewing and closing it.
Creating a New Status
Step 1. On the “Settings > Statuses > Tasks” page, click the “+ Status” button.
Step 2. Enter the name of the status and configure it. We recommend using concise names for better visual representation in the task table.
You can use emojis in the status name. For Windows users, press the “Win + . (period)” keys and select an emoji. If you can’t find the right emoji or are using Mozilla Firefox or Edge, visit the emojipedia website: simply copy and paste the desired emoji.
Note: changing status colors is not currently supported.
Require a “Comment” when changing to this status — check this box so that a team member cannot change the task to this status without a comment. The comment will be displayed in the task’s activity log.
Status is available — use the checkboxes to select the employee roles that can view tasks in this status and set this status.
Statuses that can transition to this status — check the statuses from which tasks can be moved to the status you are creating.
For example, a task can only be moved to the “Under Review” status from the “In Progress” status.
Statuses to which this status can be changed — check the statuses to which tasks can be moved from the status you are creating.
For example, a task can only be moved from the “Under Review” status to the “Completed” and “In Progress” statuses.
Step 3. Click the “Save” button. Done — the new status has been added and appears in the list.
Editing and Deleting a Status
To edit a status, go to the “Settings > Statuses > Tasks” page. Double-click the desired status, make your changes, and save them.
Important: When editing a status, the section for selecting statuses that can transition into it is not available.
For example, if you want an existing status (A) to be assigned from another status (B), you need to edit status (B) itself.
To delete a status, double-click the desired status on the “Settings > Statuses > Tasks” page and click the delete button.
Please note that to delete a task status:
there must be no tasks in that status;
at least one other status must remain in the status group.
How to use task statuses in Orderry?
Use task statuses to build a workflow for your team to complete tasks: from creation to result verification.
Rules for Transitioning Between Statuses
By configuring rules for transitioning between statuses, you can define a specific business process for tasks. Rules are configured in the status editing window on the “Settings > Statuses > Tasks” page in the “Statuses this status can transition to” section.
By default, all statuses—except those in the “Closed” group—can transition to any other status.
Sometimes employees may accidentally move a task to the wrong status, disrupting the entire workflow. Transition rules help prevent such errors.
For example, from the “New” status, an employee can only transition to “In Progress” or “Pending,” and from the “Under Review” status, they can transition to “Completed” or back to “In Progress.”
This creates a cross-sequence of statuses: restrictions are in place, but in certain cases, an employee can choose which specific status to move the task to.
To completely eliminate the risk of errors, configure the rules to create a separate sequence of statuses that is not linked to any others. To do this, create new statuses in each group and set rules for transitioning from one to another.
For example: “New 1 > In Progress 1 > Under Review 1 > Completed 1.”
To set up this sequence, open the “New 1” status and specify that it can only transition to “In Progress 1.” Then, in the “In Progress 1” status, specify that it can only transition to “Under Review 1,” and so on.
