Find out how to search products in the inventory

This article describes the principles of searching in the warehouses for more efficient work with the products.

In the first place, we recommend adding barcodes to all items. You can download existing barcodes or generate them in Orderry. Please refer to this article for more information on barcode features.

Please note that some items can be serialized and a specific barcode is available or generated for them.

After all the items are marked, you can print labels and stick them to the products. This is particularly useful for goods that do not have a barcode on the packaging and you generated it separately in the system.

You can use any barcode scanner and thermal printer for label printing. The main thing is that they must be connected to a PC. For convenience, you can take a wireless barcode scanner or install an application on your smartphone. This will allow you to scan the products while moving around. When you choose a thermal printer, you can consider the option of printing labels of different sizes. For this purpose, Orderry provides you with several label templates.

The search works on any tab. Let's look at the search options on each of them.

Searching For Items on the Inventory > Stock Page

Important: on all pages of Orderry autofocus is set in the search field. Therefore, you do not need to set the cursor in the field, you can immediately begin to write a search request or scan the barcode.

Note: You need to insert at least 3 symbols and press Enter to start searching.

Search For Products by Their Barcode or Serial Number

In the search field, you can simply scan the barcode or serial number barcode, so the table will immediately display the product you are looking for. The barcode is a unique identifier and there cannot be two different products with the same barcode in Orderry.

Product Search by System and Custom Fields

With system settings, search is performed only by system fields of the product form: Name, Code, SKU, Description.

When you search for a product by name, you can enter the words of the product name in any order.

For example, you have a product named “Micro SD Kingston 64 GB”. If you type in the search line SD 64, this product will be displayed in the table.

If you have several different manufacturers of such products, all of them will be displayed.

Similarly, you can search for the code, SKU, or product description. Please note that these parameters are not unique and can be repeated in different products.

For example, there is an item “Apple AirPods Pro” with SKU “10324” in the inventory and there is another item with the same combination of numbers in the description. In this case, during the code search both of these items will be displayed.

Fields Code, SKU, and Description can be used to identify similar products. For example, there are 10 parts with different names, prices, and features. At the same time, all parts are suitable for repairing the same device. You can specify the same Codes / SKUs for these products or in the field “Description” you can specify the model of the device for which these parts are suitable. Thus, when you enter the model of the device in the search line, the table will show all the products associated with this device.

If the search query starts with the + symbol, the search will go through the custom fields of the product form.

When some filters are set, the search is performed according to the set parameters.

Searching For Products in All Warehouses

If you have a large number of warehouses and you need to find out where a certain product is located, in the field “Availability” you should select “All”.

Then, all products from all warehouses will be available for search. Open the product profile and in the tab “Stocks” you will be able to see where and in what quantity the product is available. Using the function of bin locations will greatly simplify and speed up the process of searching for goods in stock.

Searching on the Posting, Write-offs, Transfers, Stock Takes, Purchase Returns Pages

Searches on these tabs are performed using the following data:

  • document number

  • employee who created the document

  • supplier (for posting and purchase returns)

  • warehouse

  • comment

With these parameters, you can quickly find a certain document or documents from a certain supplier, warehouse, etc.
