Hey there! We've got some awesome updates for all your service-based and retail businesses using Orderry. Introducing our latest update featuring Estimates and the ability to add products to work orders (also known as Jobs and Tickets) without messing with your precious inventory!

Now, here's the lowdown on what you can do:

  • Create unlimited estimates with ease.
    With this game-changing update, you can create as many estimates as you need for your clients. Tailor your options, send them to your clients for a quick cost agreement, and track the estimating stages effortlessly with specific statuses.

  • Effortlessly convert estimates into work orders.
    Once your client gives the green light on an estimate, converting it into a work order is just a two-click process. All the entered data smoothly transfers from one document to another, saving you time and ensuring accuracy.

  • Create work orders with no inventory deduction.
    You can now add items to work orders, even if they're not in stock. After ordering them from suppliers, you can quickly locate these work orders in the system and deduct received items from inventory hassle-free.

How to Get Started

Are you in the trial period? Well, you can enjoy creating estimates and adding products to work orders without deduction by default. Got a subscription from Hobby to Enterprise? Activating these features is a breeze. Head to the Settings > General page in the Work Orders section and empower your Orderry experience!

Create Estimates Effortlessly

Estimates are a close companion to work orders, sharing the same table. Spot the new "+ Estimate" button next to the work order creation button and embark on a journey of seamless creation.

We've made sure the types and sets of fields in estimates perfectly mirror work order forms, making your transition from estimate to work order seamless.

Distinguishing estimates from work orders is simple – work orders have filled statuses, while estimates have stroked ones. Also, you can filter the table by estimate statuses.

Spot the Difference Between Estimates and Work Orders

While estimates and work orders have much in common, there are a few key distinctions. Estimates won't involve any financial transactions and payroll calculation, won't affect client balances, and there's no inventory deduction. Estimates focus on planning and estimating costs without involving financial or inventory transactions.

Diverse Estimate Delivery Options

Sending estimates to clients has never been this versatile. Choose your preferred method:

  • Email: Directly send a detailed estimate document to your client's inbox.

  • WhatsApp: Save your estimate as a sleek PDF file and effortlessly share it with clients via WhatsApp.

  • Print: For the traditionalists, print the document for a face-to-face discussion that leaves a lasting impression.

And there's more excitement on the horizon! Brace yourselves for the upcoming introduction of a web form exclusively for estimates. Soon, you'll be able to provide your clients with a digital link to review and accept estimates with ease. Additionally, the coming soon file attachment option will allow you to send estimates as polished PDF files through Chats.

Designing Estimate Templates

While estimates don't have standalone print template settings, don't let that limit your options. Utilize almost all work order variables for estimates. Craft a specific document template for the Work Orders group and seamlessly apply it to estimates, ensuring a consistent and professional look across all your documents.

Not that only a few variables that involve information about previous payments and inventory won't work for estimates. For instance, it can be {Paid}, {Product Warehouse}, {Product Bin Location}, etc.

Effortless Conversion: Turning Estimates into Work Orders

Once your client gives the green light on an estimate, the transition to a work order is a mere formality. A simple change in status to "Order created" is all it takes. The resulting work order mirrors the estimate, transferring all entered data and preserving the entire timeline in the Event Feed.

Note that work orders created from estimates are marked as incomplete. It's a new term in Orderry for any work orders containing products that require inventory deduction.

Navigating Incomplete Work Orders: Simplifying the Process

Identifying incomplete work orders is a breeze with a distinctive icon in the table. Want to filter them out? Now you have the new Incomplete badge for that.

Keep in mind that incomplete work orders can only transition to ready or closed status once the inventory deduction is sorted. Adjust quantities, align values, and pave the way for smooth processing. For more detailed instructions on that, refer to this article.

Also, currently incomplete work orders are not displayed in the Orderry Work Orders mobile app.
