How the order synchronization between Shopify and Orderry works

Learn how to synchronize orders, products, and clients between Shopify and Orderry for convenient accounting and management

Connecting Shopify helps you quickly track orders and import products and contacts directly into Orderry.

The order table has a separate filter parameter — Shop. With it, you can display only:

  • orders created in Orderry,

  • orders created through connected integrations,

  • all orders.

There is also an additional column — Shop which displays the name of the shop where the order was created. Click on it to open the order on the original platform (Shopify) in a separate tab.

In additional actions, you can manually synchronize orders with Shopify. To do this, select the desired orders, click More actions > Update order. This can be done once every 10 minutes.

⚠️Important: to work with synchronized orders, employees must have the “Can add products without writing off” permission enabled.

Importing orders

Each order imported from Shopify has four additional fields:

  • Store — the name of the store where the order was created.

  • External ID — the unique order identifier on the Shopify platform.

  • Created — the date and time the order was created on Shopify.

  • Last updated — the date and time of the last order synchronization with the platform. Click the update button to manually synchronize data with Shopify (available once every 10 minutes).

Thanks to this synchronization, every new order from the Shopify platform is transferred to Orderry with the initial status of the order type you selected when connecting the integration.

Order data transferred from Shopify to Orderry:

  • Order number — this data is displayed in the order itself.

  • Creation date — the date the order was created on the Shopify platform.

  • Client — the buyer's first name, last name, phone number, address, and email address.

  • Order items — products added to the order, their quantity, and price.

  • Order amount — the total cost of all products in the order.

☝️ Please note: the currency for products on Shopify must match the currency set in Orderry. That is, if you are working with products priced in dollars, you should convert them to euro in the product card on Shopify before adding this item to the order.

Importing products

All new products with a unique code added to an order on Shopify are imported together with the order to the inventory in Orderry.

The system compares the imported products with those already in your account based on the value set in the Identify products by field in the integration settings (name, SKU, or product ID). If the values match, the product is not duplicated.

The product SKU is transferred to the “SKU” field, and the product ID is transferred to the “Code” field. Data is also imported into the “Name” and “Description” fields.

For all items, the unit of measurement is set to piece, regardless of the settings in your Shopify account.

If the category of the imported product already exists in Orderry, the existing one is used; if not, a new one is created.

Products from Shopify are added to the order as products without deduction, retaining their quantity and price.

If you edit the quantity of products in an order on Shopify before they are written off in Orderry, the data is synchronized and updated in the corresponding Orderry order. After write-off, changes are no longer transferred.

Importing clients

Along with the order, the client is also imported into the contact database in Orderry. The client's first name, last name, phone number, address, and email are transferred.

❗ Important: If your Shopify account has a Basic plan, client data is not transferred. In the imported order, such clients are displayed as Unknown.

With the Grow plan and above, all data is transferred in full.

If your Orderry contact database already has a contact with the same phone number, it will automatically be substituted as a client during order import and will not be duplicated in the database.
