Role permissions in finance: cash flow items and deleted transactions

Role settings now include two new options that help keep your finances under control – especially when several people work with the cash desk.

Allowed cash flow items

You can now define which cash flow items are available to employees in each role. They won't see the remaining items in payment forms and won't be able to use them. You can set this up in Settings → Employees → Roles, in the Finance block – the Cash flow items field.

For example, a cashier at a location only needs items for client payments and refunds. Allow only those for their role – and they won't be able to accidentally record a rent or tax expense.

The restriction applies wherever an employee creates a payment and complements the role's existing permissions. For roles without the restriction, everything works as before.

Please note: if only certain items are selected for a role, new items you create won't be added to that list – add them manually.

Viewing deleted transactions

In Settings → Employees → Roles, in the Finance block, there's a new permission: Can view deleted account transactions. Employees with this permission see deleted transactions in the financial account history; those without it see only active ones, including when printing and exporting.

This way, the owner and accountant can review the full history for audits, while cashiers won't be distracted by deleted records. The financial account balance is the same for everyone.

By default, the permission is granted to all roles, so nothing changes after the update – you can restrict access at any time in the role settings.

Service images

You can now add images to services in the catalog – just as you can for products and bundles. This makes it easier to find the services you need and avoid mixing up similar items. For example, if you offer different types of painting, engraving, or finishing, your employees will see the difference between them at a glance.

Add images to services

The service card now has a block for images. You can upload several photos, choose the main one, view them, or delete them – both in the web version and in the mobile app. You can also add images when creating a new service in the catalog directly from an order or estimate.

Find the services you need faster

The main image is shown when you select a service in orders, estimates, sales, invoices, and bookings. The services list and the labor and products table also have a new Images column. Hover over a thumbnail to see the image enlarged. The column is enabled by default, and you can hide it in the settings of the relevant table.

Product import with images

You can now import products together with their images: just add links to the photos in the file. This is handy when you move your catalog from another system or add products from a supplier's price list that already contains such links.

Add links to the import file

The import file now has an Images column. In this column, enter links to the product images, separated by commas: the first one becomes the main image, and the rest become additional ones.

The same format and size limits apply as when you upload images manually. Images from broken links or links to other file types are not imported.

Update images by importing again

To change images for several products at once, export your products, edit the links in the Images column, and import the file again. Images from new links are uploaded, images from removed links disappear from the product card, and the rest stay unchanged. For example, this is a quick way to replace photos when a supplier updates them in their catalog.
