How to Send an Estimate to a Client for Approval?

Learn how to print or send an estimate to a client via email or messengers

First, we recommend creating and customizing a print template for estimates if you do not already have one. You can do it on the Settings > Print Templates page.

Estimates do not have separate settings for print templates, but almost all variables for work orders work for them, except for some such as {Paid}, {Product Warehouse}, {Product Bin Location}. The variables that account for previous payments or that display stock information will not work.

Therefore, you must create a print template in the Work Orders group. Find more information on setting up print templates in this article.

Methods to Send Estimates to Clients

There are several ways to provide a client with an estimate.

Method 1. Online estimate acceptance

You can set up an automatic notification to be sent when an estimate reaches a certain status. This notification will contain a link to a web form where the client can accept or reject the estimate.

Method 2. Send the document to the client by email

1. Click the communication button in the estimate and select "Email."

2. Type in a subject line and choose a template.

3. Below, attach a document and click the Send button.

Method 3. Save the document as a PDF and send it via WhatsApp or Viber

1. Click the print button, select a document, and click Print.

2. In the preview window, select Save as PDF in the Printer field and click Save.

3. In the estimate, click the communication button and select a messenger. After that, the desktop version of the messenger will open, and you can attach the previously saved document.

Method 4. Print the document

Click the print button, select a document, and click Print.
