Inventory Transfer Creation: Methods and Options

Learn about the different ways to create product transfers between inventories and bins location, their features, and when to use each one

In the Orderry, you can create product transfers to optimize inventory levels, redistribute products between inventories, restock retail locations, and more.

There are two types of transfers: instant transfers and transfers that require additional steps or the involvement of other employees and have intermediate statuses for tracking.

Let’s take a closer look at each of them:

How to create an instant product transfer?

An instant transfer automatically creates a transfer document and immediately sets its status to “Completed.” To create such a transfer, follow these steps:

1. Go to the Inventory > Transfers tab and click the “+ Transfer” button.

2. Specify the source and destination inventories. If location-based storage is enabled, select a bin.

3. Add the products to be transferred.

If you need to move serialized products: Scan the serial number if you need to move a specific unit of products. The current location of such products in the system (Inventory and bin) is determined automatically.

You can also scan the barcode or enter the name, specify the inventory (if the product is located in multiple inventories), and select some or all units of the product. If you need to move all products, click “Add All”.

Click “Save”, after which the specified quantity of products will be added to the transfer list.

If you need to move non-serialized products: scan the barcode, SKU, or code, or enter the product name, and you’ll see a list of all matching products across all warehouses available to you. Simply select the product from the desired warehouse; it will be added to the table, and the selected warehouse will be recorded in the “Inventory” field. All subsequent products will be selected from this Inventory.

Specify the number of products to be moved (from the appropriate cell if you have bin location enabled). If you need to move all products, click “Add All”. Click “Save”, after which the specified quantity of products will be added to the move list.

4. Once all products to be transferred have been added, click the “Create and complete" button to create an instant transfer. The transfer document will appear in the table with the status Completed.

How do I create a product transfer with status updates?

A product transfer with status updates is a type of transfer that allows you to track the process in the event log and break it down into separate stages by updating statuses.

1. Go to the Inventory > Transfers tab and click the “+ Transfer” button.

2. Specify the source and destination inventories. If location-based storage is enabled, select a bin.

3. Add the products to be transferred.

If you need to move serialized products: Scan the serial number if you need to move a specific unit of products. The current location of such products in the system (Inventory and bin) is determined automatically.

You can also scan the barcode or enter the name, specify the Inventory (if the product is located in multiple inventories), and select some or all units of the product.

How to work with transfers involving status changes?

Editing a transfer

In the created transfer document, you can edit the quantity of products, as well as change the Inventory and storage bin to which the transfer is scheduled. To do this, open the document you want to edit, double-click on the row with the desired item, make the changes, and click Save.

Please note: you can only edit transfer items in their initial status. After transitioning to the next status, only the inventory warehouse can be changed.

Changing Transfer Statuses

To change a transfer to the next status, click on the document status in the table or in the transfer window. Select the desired status from the list—it will be applied automatically, and the corresponding event will appear in the event log.

The following statuses are available for transfers:

  • Draft - the transfer has been created but not yet started.

  • In Transit - the products have already been shipped from the sender's inventory and are in the process of being transferred.

  • Ready for Ship - the products have been prepared for shipment but not yet loaded.

  • Received - the products have been delivered to the destination inventory and accepted.

  • Completed - the transfer is fully completed.

  • Canceled - the transfer has been canceled and will not be executed. You can use this status to cancel a transfer. You can set this status at any stage of the transfer, but the previous status determines which inventory the products will be returned to:
    Draft and Ready for ship - products are returned to the sending inventory. In transit - you must select which of the available inventories the products should be placed in. Received - products are delivered to the receiving inventory. Completed - transition to the Canceled status is not provided.

Transfer from the “Inventory > Stock” page

1. On the Inventory > Stock page, select an inventory location, then select the desired products using the checkboxes.

2. Click the “More Actions” button at the bottom of the table and select “Transfer”.

3. A window for creating a transfer will open, just like on the “Inventory > Transfers” page. Specify the quantity of products (all products from the selected inventory are automatically added) and the bin (if you use bin location).

4. Click the “Create” button to create a transfer with status changes. Click “Create and Complete” to create an instant transfer.

The transfer document will appear in the general list on the Inventory > Transfers page.
